The construction corporation needed an ITAR-compliant provider with advanced security who was able to host a large amount of data.

Process

Todd Haley, Vice President of Strategic Solutions, along with Meredith Feezell, Senior Consultant, and Alan Moyer, Project Manager, worked with the client to develop a unique repository and matter-centric workspace structure which was used to host a large amount of data. Meredith and Alan worked in close conjunction with UnitedLex, who was the review provider for the construction company.

Over a 2 month period of depositions, eTERA coordinated with the legal team and the print vendor for numerous sets of daily blowbacks. These often occurred as a rush, over late nights, and weekends. Additionally, Kirubel Tsehai created and maintained a highly complex set of reports that
were specifically customized to the company’s requirements, including financial, custodian and review statistics. eTERA hosted the data for over 18 months.

The energy corporation was looking for a small case management system, with the flexibility to expand when needed and scale to larger projects.

Process

The client was unhappy with their service provider and software solution options they were being offered. Todd Haley, Vice President of Strategic Solutions and Vazantha Meyers, Managing Director of Rev1ew One, presented both Mindseye and Relativity to the company, with the understanding that with internal investigations and compliance that Mindseye may be the better solution. The client mentioned that the demonstration was the sole reason they chose eTERA.

Emily Kime, Senior Consultant, worked with the company to manage all of their small matters, from 1 GB to 100 GBs. She also set up a solution to manage exponentially expanding projects with many terabytes. Additionally, Emily and Zach, who both hold certifications in Mindseye and Relativity, worked with the client to figure out the best way to handle small, quick investigations and compliance matters. Todd Haley and Vazantha Meyers are also working with the energy company’s risk, compliance and legal departments to determine how to effectively use technology to mitigate risks, remediate data and manage document retention around Office365, other productivity applications and the cloud. In addition, Todd and Vazantha created a comprehensive information governance policy, procedure and implementation plan.

Problem

An energy corporation was experiencing a regulatory requirement issue associated with Personally
Identifiable Information (PII), pursuant to the Nuclear Regulatory Agency.

Process

eTERA was able to identify the challenge – needing to identify and move all PII from a large network
subset of the energy company in less than two months. Todd Haley, working with StoredIQ, and Kristin
Sunderman, Senior Consultant on the project, developed a high-end indexing solution that relied on an
entire rack of servers being dropped into the energy company. However, the solution only required a
single ethernet connection and was completely self-contained, eliminating any security concerns. Todd
and Kristin’s solution was able to index over 40 TBs of data in less than 2 days.

Once indexed, the team created complex language algorithms to identify more than 35 different types
of PII and tag documents that needed to be remediated. Once documents were identified, the team ran
a false-positive index against the data set to ensure they had the right documents. A remediation plan
was developed and implemented – the solution proving to be highly successful. This was one of eTERA’s
largest information governance projects and included members of the risk, compliance, and legal
departments at the energy company.
